Terms of Service

Terms governing access to and use of LeagueHero services.

Effective date: July 12, 2026

These Terms of Service (the “Terms”) govern access to and use of the websites, applications, software, and related services provided by LeagueHero LLC (“LeagueHero,” “we,” “our,” or “us”), including league management, scheduling, field booking, communications, registration, payment, artificial intelligence, and related administrative tools (collectively, the “Services”).

By creating an account, executing an order form, clicking to accept these Terms, or accessing or using the Services, you agree to be bound by these Terms. If you use the Services on behalf of a league, association, club, school, municipality, park district, company, nonprofit, or other organization, you represent that you have authority to bind that organization. In these Terms, “Customer,” “Organization,” and “you” refer to that organization and, where applicable, its Authorized Users.

1. Definitions

“Authorized User” means an employee, officer, director, volunteer, coach, administrator, contractor, parent, guardian, or other individual whom Customer authorizes to use the Services.

“Customer Data” means information, content, files, rosters, schedules, communications, registration details, participant information, and other materials submitted to or processed through the Services by or for Customer.

“Order Form” means an ordering document, online checkout page, proposal, statement of work, or other written agreement that identifies a subscription plan, price, term, or additional terms.

“Registration Revenue” means the gross registration fees actually processed through the Services for Customer, excluding taxes, donations, merchandise, processor fees, LeagueHero technology platform fees, refunded amounts, credits, discounts, fraudulent transactions, and chargebacks, unless LeagueHero states otherwise in writing.

“Technology Platform Fees” means the technology platform fees charged by LeagueHero under Section 7.2 and actually received and retained by LeagueHero, excluding amounts refunded, reversed, credited, disputed, charged back, uncollectible, fraudulent, or otherwise returned.

“Subscription Term” means the period during which Customer is authorized to use a paid subscription plan.

2. Eligibility, Organizational Authority, and Accounts

  • The Services are intended for organizations and adult users. Individuals under 18 may not create an administrative account unless expressly authorized by LeagueHero and permitted by applicable law.
  • Customer must provide accurate, current, and complete account information and keep it updated.
  • Customer is responsible for safeguarding login credentials, configuring user permissions, and all activity occurring under its accounts, except to the extent caused by LeagueHero's breach of these Terms.
  • Customer must promptly notify LeagueHero at support@joinleaguehero.com of suspected unauthorized access, credential compromise, or misuse.
  • Customer is responsible for the acts and omissions of its Authorized Users and for removing access when an Authorized User is no longer authorized.

3. Services and Customer Responsibilities

LeagueHero provides tools to assist organizations with league operations. Customer remains responsible for its programs, participants, policies, registrations, schedules, communications, staffing, facilities, eligibility decisions, safety procedures, and compliance obligations.

  • Customer must review and confirm schedules, field assignments, communications, registration settings, prices, refund rules, installment schedules, roster information, and other outputs before relying on or publishing them.
  • LeagueHero does not supervise sporting activities, perform background checks, determine participant eligibility, provide medical advice, or guarantee the safety, legality, accuracy, or suitability of Customer's programs or decisions.
  • Customer is solely responsible for obtaining all permissions, releases, consents, and rights necessary to collect, upload, use, and disclose Customer Data through the Services.

4. Subscription Plans, Billing, and Taxes

4.1 Plans and Pricing

LeagueHero currently offers a base “LeagueHero” plan and a “LeagueHero Plus” plan that may include AI Assistants and Schedule Maker. Current standard pricing is posted at joinleaguehero.com/pricing or stated in an Order Form. Features, limits, and plan names may change as permitted under Section 18.

4.2 Monthly Plans

  • Monthly plans are billed monthly in advance and continue month-to-month until canceled.
  • Customer may cancel before the next billing date through available account controls or by contacting LeagueHero. Access continues through the end of the paid billing period.
  • Monthly fees are non-refundable and are not prorated for partial months, except as expressly stated in these Terms or required by law.

4.3 Annual Plans

  • Annual plans may be purchased by request or through an Order Form and are billed in advance.
  • Unless the Order Form states otherwise, Customer may cancel an initial annual plan within 30 days after purchase for a full refund.
  • After the 30-day period, annual fees are non-refundable except as expressly stated in these Terms or required by law.
  • Annual subscriptions automatically renew for successive one-year terms unless canceled before the renewal date. LeagueHero will provide any renewal notice required by applicable law and may provide courtesy reminders by email or in-product notice.

4.4 Changes, Taxes, and Payment Authorization

  • Upgrades may take effect immediately, with the price difference charged on a prorated basis. Downgrades take effect at the next renewal or billing period unless LeagueHero agrees otherwise.
  • Customer authorizes LeagueHero and its payment providers to charge the payment method on file for fees, taxes, and other amounts due.
  • Prices exclude applicable sales, use, excise, value-added, and similar taxes. Customer is responsible for such taxes, excluding taxes based on LeagueHero's net income.
  • Failure to pay may result in suspension or termination. Removing a payment method or ceasing use does not itself cancel a subscription.
  • LeagueHero may change subscription pricing upon at least 30 days' advance notice. Changes apply no earlier than the next billing period or renewal date unless Customer agrees otherwise.

5. Registration Fee Waiver

5.1 Initial Grace Period

When Customer first publishes an online registration form through the Services (the “Activation Date”), Customer enters a 60-day Initial Grace Period during which LeagueHero subscription fees are waived and Customer receives access to LeagueHero Plus features, including AI Assistants and the Schedule Maker, at no additional subscription charge, regardless of registration volume.

The Activation Date is set once — the date Customer first publishes a paid online registration form. Subsequent toggles, edits, or additional forms do not reset it. The Initial Grace Period is one-time and does not renew or repeat.

5.2 Ongoing Waiver — Trailing 12-Month Check

Beginning on the day after the Initial Grace Period ends, and continuously thereafter, LeagueHero evaluates the Technology Platform Fees actually collected and retained during the twelve months immediately preceding that evaluation (the “Trailing 12-Month Period”), truncated so that the Trailing 12-Month Period does not begin before the Activation Date.

  • When Technology Platform Fees during the Trailing 12-Month Period reach $300, Customer's LeagueHero subscription fee is waived and Customer is upgraded to LeagueHero Plus features at no additional subscription charge, effective as of the next billing cycle following the threshold being met.
  • If Technology Platform Fees during the Trailing 12-Month Period subsequently fall below $300, LeagueHero subscription billing resumes at the applicable rate as of the next billing cycle following that evaluation, and Customer reverts to the LeagueHero base plan.
  • The waiver may re-activate at any later time Customer's Trailing 12-Month Period again reaches $300, and may again step down if it later falls below the threshold.

5.3 Scope and Adjustments

  • The waiver applies only to LeagueHero subscription fees. Technology Platform Fees, third-party payment processing fees, taxes, chargeback fees, and other transaction-related charges remain payable at all times.
  • For purposes of this Section 5, “Technology Platform Fees” means platform fees actually received and retained by LeagueHero, excluding any amounts refunded, reversed, credited, disputed, charged back, uncollectible, fraudulent, or otherwise returned.
  • If fees that caused Customer to reach the $300 threshold are later refunded, reversed, credited, disputed, or charged back, LeagueHero may recalculate the Trailing 12-Month Period, adjust the waiver accordingly, and offset or recover any resulting overpayment, credit, or benefit.
  • LeagueHero may deny or revoke the waiver where registration activity appears artificial, abusive, or intended primarily to obtain the waiver.

6. Free Trials, Beta Features, and Promotions

  • The duration, included features, limits, conversion date, and price of a free trial will be disclosed at signup or in an Order Form.
  • If a payment method is required, the trial automatically converts to a paid subscription unless canceled before the stated expiration time.
  • Trials, beta features, previews, and promotions may be modified or discontinued at any time, may have reduced support, and are provided “as is.”
  • Unless LeagueHero states otherwise, Customer may receive only one trial per organization, affiliated group, or payment method.

7. Online Registration and Payment Processing

7.1 Third-Party Processor and Merchant Responsibility

  • Payments are processed by Stripe or another third-party payment processor. Customer must create, connect, verify, and maintain an eligible processor account in good standing.
  • Customer is the merchant of record for transactions processed on its behalf and is responsible for the underlying programs, goods, services, disclosures, receipts, taxes, refunds, disputes, chargebacks, and customer-service obligations.
  • LeagueHero is not a bank, money transmitter, escrow agent, or financial institution and does not guarantee processor approval, payout timing, or continued processor availability.
  • Processor terms, identity-verification requirements, reserve policies, payout holds, prohibited-business rules, and fee schedules apply independently of these Terms.
  • LeagueHero may replace or add payment processors upon reasonable notice where practicable.

7.2 Technology Platform Fee

  • LeagueHero charges a technology platform fee equal to 2% of registration revenue processed through the Services, unless another rate is stated in an Order Form.
  • The platform fee is separate from processor fees. Customer may configure whether Customer, the registrant, or a combination bears permitted fees, subject to applicable law and processor rules.
  • LeagueHero may change the platform fee upon at least 30 days' advance notice. Unless otherwise stated, the new rate applies to registrations first published or opened for enrollment after the effective date of the change.

7.3 Refunds, Chargebacks, and Negative Balances

  • Customer is responsible for publishing and following lawful refund, cancellation, and installment policies.
  • Where Customer issues a full or partial refund through the Services, the associated LeagueHero platform fee will generally be returned proportionally, subject to sufficient funds, processor functionality, fraud controls, and any nonrefundable amounts disclosed at the time of the transaction.
  • Processor fees are governed by processor terms and may be nonrefundable.
  • Customer is responsible for chargebacks, dispute fees, reversals, refunds, negative balances, and collection costs associated with transactions processed for Customer. To the extent permitted by law, LeagueHero may offset amounts owed against future payouts, credits, or other amounts payable to Customer.

7.4 Payment Plans and Discounts

  • For payment plans, the deposit is charged at checkout and later installments are charged according to the disclosed schedule. Customer is responsible for lawful disclosures, collection activity, participation consequences, and handling failed payments.
  • Sibling discounts apply only as configured and generally only within the same family checkout transaction. They are not retroactive across separate transactions unless Customer manually issues a credit or refund.

8. Customer Data, License, and Data Accuracy

As between the parties, Customer retains its ownership rights in Customer Data. Customer grants LeagueHero and its service providers a worldwide, nonexclusive, limited license to host, copy, transmit, display, modify, process, and otherwise use Customer Data only as reasonably necessary to provide, secure, support, improve, and administer the Services; prevent fraud or abuse; comply with law; and exercise LeagueHero's rights under these Terms.

  • Customer represents that it has all rights, notices, consents, and lawful bases needed for LeagueHero to process Customer Data as described in these Terms and the Privacy Policy.
  • Customer is responsible for the accuracy, quality, legality, and appropriateness of Customer Data.
  • Customer should not upload Social Security numbers, government identification numbers, full payment-card data, detailed medical records, or other highly sensitive information unless the Services expressly request it and LeagueHero has approved such use in writing.

9. Privacy, Youth Participants, and Data Processing

  • Use of the Services is subject to LeagueHero's Privacy Policy, which is incorporated by reference.
  • Customer determines the purposes and means of processing Customer Data, and LeagueHero generally processes Customer Data on Customer's behalf as a service provider or processor, except where LeagueHero acts independently as described in the Privacy Policy.
  • Customer is responsible for providing required notices and obtaining parental or guardian consent for youth-participant information, photographs, communications, emergency contacts, and other personal information where required by law.
  • Customer represents and warrants that it has obtained verifiable parental consent under the Children's Online Privacy Protection Act (COPPA), or is entitled to rely on the school-official exception to COPPA, for all personal information about children under 13 that Customer uploads, submits, or causes to be collected through the Services. Customer will indemnify LeagueHero against third-party claims arising from a breach of this warranty in accordance with Section 21.
  • Customer must not knowingly permit a child under 13 to create a direct administrative account or independently submit personal information to LeagueHero unless LeagueHero has expressly enabled a compliant child-directed experience.
  • LeagueHero may use subprocessors for hosting, analytics, support, email, text messaging, payments, and AI functionality. LeagueHero remains responsible for their use to the extent required by applicable law and contractual commitments.
  • Customer may request export or deletion of Customer Data subject to technical limitations, legal obligations, backup retention, fraud prevention, and the rights of other users.

10. Artificial Intelligence Features

  • AI features may generate schedules, drafts, recommendations, summaries, or other output using Customer input and third-party AI services.
  • AI output may be inaccurate, incomplete, biased, duplicative, or unsuitable. Customer must independently review and approve AI output before relying on, publishing, or acting on it.
  • AI output is not legal, medical, financial, child-safety, eligibility, or professional advice, and must not be used as the sole basis for decisions materially affecting a participant.
  • Customer must not submit highly sensitive personal information, confidential credentials, full payment-card data, or information it lacks authority to share with an AI provider.
  • Customer retains its rights in input and, as between Customer and LeagueHero and to the extent permitted by law, owns output generated specifically for Customer. LeagueHero does not guarantee that output is unique or protectable, and similar output may be generated for others.
  • Unless disclosed and agreed otherwise, LeagueHero will not use identifiable Customer Data to train a general-purpose AI model for unrelated customers. De-identified or aggregated usage information may be used to improve features as described in Section 11.

11. Aggregated and De-Identified Data

LeagueHero may create and use data that has been aggregated or de-identified so that it cannot reasonably identify Customer, an Authorized User, a participant, or a family. LeagueHero may use such data to operate, analyze, secure, benchmark, improve, and develop the Services and may disclose it for lawful business purposes. LeagueHero will not attempt to reidentify de-identified data except to test its de-identification or as permitted by law.

12. Communications and Messaging

  • Customer is responsible for ensuring it has a lawful basis and any required consent to send emails, text messages, push notifications, or other communications through the Services.
  • Customer must identify itself accurately, use truthful content, honor opt-out requests, maintain accurate contact lists, and comply with applicable anti-spam, telemarketing, privacy, and messaging-provider rules.
  • Customer may not use purchased, scraped, or unlawfully obtained contact lists or send harassing, deceptive, discriminatory, abusive, or unlawful messages.
  • LeagueHero may block or throttle messages, remove invalid contacts, require additional verification, or suspend messaging to protect recipients, system security, deliverability, or provider relationships.

13. Intellectual Property and Feedback

LeagueHero and its licensors retain all right, title, and interest in the Services, software, interfaces, workflows, designs, documentation, trademarks, and related intellectual property. No rights are granted except the limited right to use the Services during an active subscription in accordance with these Terms.

  • Customer may not copy, sell, resell, sublicense, distribute, publicly display, modify, create derivative works from, reverse engineer, bypass, scrape, or attempt to discover the source code or nonpublic components of the Services, except where applicable law prohibits such restriction.
  • Customer grants LeagueHero a perpetual, worldwide, royalty-free right to use suggestions, ideas, and feedback without restriction or obligation, provided LeagueHero does not publicly identify Customer as the source without permission.

14. Acceptable Use

  • Customer and Authorized Users may not use the Services to violate law; infringe rights; exploit or endanger a child; harass or discriminate; transmit malware; compromise security; gain unauthorized access; interfere with service operation; conduct fraudulent transactions; impersonate others; or facilitate prohibited or dangerous conduct.
  • Customer may not use automated tools to extract data or place unreasonable load on the Services except through an authorized API or written agreement.
  • LeagueHero may investigate suspected violations and may remove content or suspend access where reasonably necessary to protect users, children, LeagueHero, third parties, or the Services.

15. Confidentiality

Each party may receive nonpublic business, technical, financial, security, or personal information of the other (“Confidential Information”). The receiving party will use reasonable care to protect Confidential Information and will use it only to perform or exercise rights under these Terms. Confidential Information does not include information that is publicly available without breach, already lawfully known, independently developed without use of the information, or lawfully received without confidentiality duty. A party may disclose information when legally required after providing notice where legally permitted.

16. Security and Service Availability

  • LeagueHero will maintain commercially reasonable administrative, technical, and organizational safeguards appropriate to the nature of the Services and Customer Data.
  • No system is completely secure. LeagueHero does not warrant that unauthorized third parties will never defeat security measures or that the Services will be uninterrupted or error-free.
  • Customer is responsible for endpoint security, secure credentials, appropriate permissions, backups of critical exports, and promptly installing or adopting security-related updates or settings made available by LeagueHero.
  • LeagueHero may perform maintenance, impose reasonable usage limits, or temporarily restrict access to address security, legal, operational, or technical concerns.

17. Suspension, Termination, and Data Export

17.1 Suspension

LeagueHero may suspend access immediately where reasonably necessary because of nonpayment, suspected fraud, security risk, unlawful conduct, processor or provider requirements, risk of harm to a child or other person, excessive system impact, or a material violation of these Terms. Where practicable, LeagueHero will provide notice and an opportunity to cure ordinary violations.

17.2 Termination by Customer

Customer may cancel in accordance with Section 4. Cancellation stops future renewal but does not entitle Customer to a refund except as expressly stated in these Terms, an Order Form, or applicable law.

17.3 Termination by LeagueHero

LeagueHero may terminate for an uncured material breach after reasonable notice, or immediately for fraud, illegality, serious security risk, nonpayment, repeated violations, or conduct likely to cause material harm. LeagueHero may also discontinue the Services upon at least 30 days' notice. If LeagueHero terminates a paid subscription without cause and does not provide a substantially similar replacement, LeagueHero will provide a prorated refund of prepaid subscription fees for the unused period.

17.4 Effect of Termination

  • Customer's access will cease at the end of the applicable period or upon termination.
  • Upon written request made within 30 days after termination, LeagueHero will make a commercially reasonable export of readily available Customer Data, subject to account standing, technical limitations, and law.
  • LeagueHero may retain Customer Data for backups, fraud prevention, dispute resolution, legal compliance, and legitimate operational needs, after which it may be deleted or de-identified.
  • Sections that by their nature should survive will survive, including payment obligations, intellectual property, confidentiality, disclaimers, liability limitations, indemnification, dispute resolution, and general terms.

18. Service Changes

LeagueHero may update and improve the Services. LeagueHero will not materially reduce the core functionality of a paid plan during the then-current Subscription Term without providing a substantially similar replacement, a reasonable migration path, or a prorated credit or refund for the materially affected unused period. This commitment does not apply to beta features, third-party features discontinued by a provider, changes required by law or security, or features whose continued operation would create material risk.

19. Disclaimer of Warranties

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE.” LEAGUEHERO DISCLAIMS ALL EXPRESS, IMPLIED, STATUTORY, AND OTHER WARRANTIES, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, NON-INFRINGEMENT, ACCURACY, RESULTS, AND QUIET ENJOYMENT. LEAGUEHERO DOES NOT WARRANT THAT THE SERVICES, AI OUTPUT, SCHEDULES, COMMUNICATIONS, PAYMENT FUNCTIONS, OR THIRD-PARTY SERVICES WILL BE UNINTERRUPTED, ERROR-FREE, SECURE, OR SUITABLE FOR CUSTOMER'S PARTICULAR PURPOSE.

20. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW:

  • NEITHER PARTY WILL BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE, GOODWILL, DATA, BUSINESS OPPORTUNITY, OR PROGRAM INTERRUPTION, EVEN IF ADVISED OF THE POSSIBILITY.
  • LEAGUEHERO'S TOTAL AGGREGATE LIABILITY ARISING OUT OF OR RELATING TO THE SERVICES OR THESE TERMS WILL NOT EXCEED THE GREATER OF (A) THE AMOUNTS PAID OR PAYABLE TO LEAGUEHERO BY CUSTOMER FOR SUBSCRIPTION AND PLATFORM FEES DURING THE 12 MONTHS BEFORE THE EVENT GIVING RISE TO LIABILITY OR (B) $500.
  • THE LIMITATIONS DO NOT APPLY TO LIABILITY THAT CANNOT LAWFULLY BE LIMITED OR EXCLUDED. Any additional exclusions or carve-outs stated in an Order Form control for that Order Form.

21. Indemnification

Customer will defend, indemnify, and hold harmless LeagueHero and its affiliates, officers, directors, employees, and agents from third-party claims, damages, judgments, losses, liabilities, costs, and reasonable attorneys' fees arising from: (a) Customer Data; (b) Customer's programs, registrations, goods, services, refund policies, participation decisions, communications, or payment disputes; (c) Customer's or an Authorized User's violation of law, these Terms, or third-party rights; or (d) misuse of the Services. This obligation does not apply to the extent a claim was caused by LeagueHero's gross negligence, willful misconduct, or breach of these Terms.

LeagueHero will provide prompt notice of a covered claim, allow Customer to control the defense with reasonably acceptable counsel, and provide reasonable cooperation at Customer's expense. Customer may not settle a claim in a manner that admits fault by or imposes nonmonetary obligations on LeagueHero without LeagueHero's written consent.

22. Dispute Resolution, Arbitration, and Class-Action Waiver

PLEASE READ THIS SECTION CAREFULLY. Except for a claim eligible for small-claims court, a request for temporary or preliminary injunctive relief involving intellectual property, confidentiality, security, or unauthorized access, or a collection action for undisputed fees, any dispute arising out of or relating to these Terms or the Services will be resolved by binding arbitration administered by the American Arbitration Association by one arbitrator. Disputes brought by or against an individual consumer (including a parent, guardian, coach, or other individual Authorized User acting in a personal capacity) will be administered under the AAA Consumer Arbitration Rules and the AAA Consumer Due Process Protocol. Disputes brought by or against an organization (including a league, club, association, school, municipality, or other Customer entity) will be administered under the AAA Commercial Arbitration Rules. The arbitration will take place in Kane County, Illinois, unless the parties agree to remote proceedings or another location, or the applicable AAA rules provide otherwise for consumer disputes. Judgment on the award may be entered in any court with jurisdiction.

Each party will bear its own attorneys' fees and costs unless the arbitrator awards them under applicable law or these Terms. AAA filing and arbitrator fees will be allocated under the applicable rules. EACH PARTY WAIVES THE RIGHT TO A JURY TRIAL AND TO PARTICIPATE IN A CLASS, COLLECTIVE, CONSOLIDATED, OR REPRESENTATIVE ACTION. Claims must be brought only in an individual capacity.

23. Governing Law

These Terms are governed by the laws of the State of Illinois, without regard to conflict-of-law principles. For matters not subject to arbitration, the state and federal courts located in Kane County, Illinois will have exclusive jurisdiction, and each party consents to venue there.

24. Changes to These Terms

LeagueHero may update these Terms. LeagueHero will post the revised Terms with a new effective date and will provide at least 30 days' advance notice of material changes by email, in-product notice, or another reasonable method. Nonmaterial changes may become effective when posted. Unless required by law, changes will not retroactively alter the parties' rights regarding a dispute or event that arose before the effective date. Continued use after the effective date constitutes acceptance. If Customer does not agree to a material change, Customer must stop using the Services and cancel before the change takes effect.

25. Notices

  • Operational notices may be sent to the email address associated with Customer's account, displayed in the Services, or posted on LeagueHero's website.
  • Legal notices to LeagueHero must be sent by email to support@joinleaguehero.com and by nationally recognized overnight courier or certified mail to the legal notice address published on LeagueHero's website or stated in an Order Form.
  • Customer is responsible for keeping its contact information current.

26. General Terms

  • Order of precedence. If an Order Form conflicts with these Terms, the Order Form controls for that Order Form. The Privacy Policy controls regarding privacy-specific disclosures, but does not expand commercial warranties or liability unless expressly stated.
  • Entire agreement. These Terms, the Privacy Policy, and applicable Order Forms constitute the entire agreement regarding the Services and supersede prior or contemporaneous discussions on that subject.
  • Assignment. Customer may not assign these Terms without LeagueHero's prior written consent. LeagueHero may assign them in connection with a merger, acquisition, corporate reorganization, sale of assets, or by operation of law.
  • Force majeure. Neither party is liable for delay or failure caused by events beyond reasonable control, excluding payment obligations.
  • Independent contractors. The parties are independent contractors. These Terms do not create an agency, partnership, joint venture, fiduciary, employment, or franchise relationship.
  • No third-party beneficiaries. These Terms benefit only the parties and permitted successors and assigns.
  • Severability. If any provision is unenforceable, it will be modified to the minimum extent necessary, and the remainder will remain effective.
  • Waiver. A failure to enforce a provision is not a waiver. Waivers must be in writing.
